Overview
This document will explain how to utilize temporary warehouse locations when receiving non-stock material that doesn't require a permanent or default warehouse location. This is particularly useful when handling items that may never be reordered, allowing for efficient inventory management without cluttering your warehouse system with unnecessary locations.
Warehouse Admin Configuration
To use Temporary Locations in your warehouse you will first need to configure your warehouses for this functionality.
-
Go to Admin> Administrator> Warehouse > Warehouse Settings
-
For each Warehouse location that you have, you will select the following checkbox ‘Deassociate location from the item when stock reaches zero’ What this means is that an item that is not flagged ‘Stocked’ as soon as the availability reaches ‘0’ on hand, any warehouse locations that were assigned to that item will be unassigned and removed.
Sites Admin Configuration
If you want to control your put away locations for when customers are returning merchandise, it is important to make sure that you are not automatically returning goods to their default locations.
-
Within the Administrator settings go to Site> Site Settings
-
Where is states ‘Automatically Move Returned Item to Default Locations’ make sure this is set to ‘None’
-
This will allow you to choose, edit and update all material within your Manage Suspect Returned Items.
Receiving a Non-Stock item
When receiving non-stock items, during the receiving process if you are not automatically holding the items for the backorders and picking and staging the order for shipment you will need to put the item away in a warehouse location.
When it is time to receive the warehouse receiver will find and open the receiver.
-
Print a receiver document, by selecting the ‘Print’ button in the top right corner.
-
This receiver document shows (similar to the put away) the list of items on that receiver and will allow the warehouse employee to write down how many were received and the location they are putting the material away to.
-
As you are entering the information from the receiver document into Savance, you will enter the quantity received as well as the location in which the receiver put it away to.
-
To select the Put Away location of the items select the “..’ next to the Put Away Location column
-
Next, in the Put Away locations screen, choose the location from the drop-down menu.
- NOTE: Since you are using the Temporary Location functionality the drop-down location listing will appear.
-
Next, Select Received to allow the Hold for Backorders screen to appear.
-
This screen will allow you to print any labels, as well as to inform you what items that were received were for what orders you have holding.
-
Select Ok on the Hold for Backorders screen, the system will automatically increase your Reserved Allocated by the item and qty, if using RH (Reserved Hold)., if you are not using RH you will need to do the Process Backorders process. **
**
-
Finally, Post to ‘Put Away’ and save and close the receiver when completed.
Warehouse Inventory
In your Warehouse Manager, within Inventory > Location Management.
- Once you select the location where you put your non-stock item away, it will appear within that location view.
Selling Through Your Non-Stock Items
When you sell your non-stock items, and pick and stage them from the location you put them away during receiving, when the on-hand value reaches 0, the default location that you assign that item and the history of that location, will be removed from the Warehouse Inventory> Location Management.
-
When you sell the last non-stock item from its location and the stock reaches 0 on hand, the item is removed from its warehouse location automatically.
Stock Adjusting Your Non-Stock Items
Just like selling your material, if a non-stock item has a location and you stock adjust it zero ‘0’ on hand any warehouse location the item was associated with, will also deassociate.
-
In this example, I have 2 available in location 1-1a.
-
I stock adjusted the availability down to ‘0’ on hand, and saved my changes.
-
The item’s location went to ‘1-1a’, to ‘No Location’
Returning Non-Stock Items
In the scenario that a customer is returning a non-stock item you will follow the normal return process.
If the material is good, and you are going to resell it, and you had 0 on hand at the time this customer returned, the item by default will be Put Away to the No Location, as its prior location was only temporary and no longer affiliated with this item.
-
To assign this item to a new location go to the Warehouse Inventory Log for this item.
-
In the Stock, Adjustment add a - value in the No Location, and select Add Location to add the new Temporary location.
-
In the Stock Adjustment screen, select the new Location and select ‘Add’ to save.
-
This will move that item from the No location to your new location selected.
-
Alternatively, you can go to Warehouse Manager > Location Management, find the item, select it, and move it to a new location.
If the material is unknown and needs inspection before being placed back in stock, you will manage the put-away location from the Manage Suspect on Hand Screen.
-
Select the ‘...’ in the Put Away location column and select ‘Edit’ Location. The Stock adjustment screen will appear.
-
Select ‘Add Location’ and choose your new location to put the item away to.
-
Then select ‘Process’ to move the item from the Suspect on Hand Bin to the new Put Away Location.
